Quick Start: Setting Up Your Store Identity, Logo, Bank Accounts & Live Preview Studio

Walk through your first 5 minutes with SemiAuto Invoicing: enable your PDF document formats, sync your store identity from WooCommerce with one click, upload a print-ready local logo, customize typography, and preview your documents in real time before saving.

WooCommerce → Settings → SemiAuto Invoicing → General / Design & Style
1

Open the SemiAuto Invoicing Settings Hub

In your WordPress Admin sidebar, go to WooCommerce → Settings and click the SemiAuto Invoicing tab at the top of the screen. Below the main tab bar, you will see 12 specialized sub-tabs:

  • General — Document formats and your store’s legal identity.
  • Thermal Receipt — POS continuous-roll receipts (44mm to 80mm), staff rosters, and kitchen copies.
  • A4 Documents — Full-page tax invoices, credit notes, payment terms, and BACS bank details.
  • Packaging Slip — Pricing-free warehouse packing slips and delivery notes.
  • XML (Peppol) — Global e-invoicing standards, tax mappings, and compliance pre-flight (PRO).
  • Barcode & QR — 1D Code-128 / EAN-13 / Code-39 barcodes and 2D QR codes (PRO).
  • Design & Style — Font families, base point sizes, line heights, and brand accent colors.
  • Storage — File browser, bulk ZIP archives, retention schedules, and uninstall options.
  • Extras — Custom checkout fees repeater (PRO).

  • Billing Documents — Document Control settings, Summary Invoices wizard, and Accountant CSV export (PRO).
  • Status & Diagnostics — System health checks, server directory security status, and activity logs.
2

Choose Which Document Formats to Enable

In the General sub-tab under Document Types, locate the Enable Formats field and choose the PDF formats your store needs:

  • Thermal Receipt — Compact continuous-roll receipts for POS printers (44mm, 57mm, 58mm, 76mm, and 80mm rolls).
  • A4 Documents — Standard full-page PDF Invoices (and Credit Notes in PRO).
  • Packaging Slip — Fulfillment slips showing items, SKUs, and customer shipping details without prices.
Independent Triggers: You can enable one, two, or all three formats simultaneously. Each format has its own independent order-status trigger and email attachment rules.
3

Sync Your Store Identity from WooCommerce with 1 Click

Under Business Identity on the General tab, you do not need to re-type your store address manually:

  1. Next to the Business Name field, click Sync from WooCommerce.
  2. The plugin pulls your store address, city, postcode, and country from WooCommerce and automatically fills in Business Name, Business Address, Business City, and Business Postcode.
  3. Choose your Business Name Format: keep As Entered or display in UPPERCASE.
  4. Enter your Store Contact Details such as phone number, email address, website, or operating hours (supports multiple lines).
Regional E-Invoicing Note (PRO): If your store uses UAE PINT AE, Japan PINT JP, or Australia/NZ PINT A-NZ, your Business Name must match the exact legal entity name registered on your Trade License, NTA Corporate Number register, or ABN/NZBN register.
4

Upload a High-Resolution Store Logo

Next to Logo, click Upload Logo and select your image from the WordPress Media Library:

  • Supported Formats: PNG, WebP, or JPEG (a minimum width of 600px is recommended for crisp 300 DPI print clarity).
  • Why Vector SVGs Are Excluded: SVG files are intentionally excluded to guarantee consistent print accuracy across all PDF readers and to protect server security.
  • Instant Local Loading: Your logo is read directly from your local WordPress Media Library rather than fetched over the internet during PDF generation, ensuring fast and reliable rendering.
5

Control Customer Details & Currency Display

  • Customer Details Visibility: Choose which buyer fields appear on your documents: First Name, Last Name, Company Name, Address, City, Postcode, Country, Phone, Email, and Custom Checkout Fields.
  • Automatic B2B Company Prominence: Whenever a customer enters a Company Name, the document automatically prints the Company Name in bold on the top line as the primary legal billing entity, with the individual’s name directly underneath as the contact person.
  • Currency Display Mode: Choose between Symbol (e.g. $, د.إ) or ISO Code (e.g. USD, AED).
6

Customize Fonts & Brand Colors (Design & Style Tab)

Switch to the Design & Style sub-tab to tailor your visual appearance:

  • Font Family: Choose DejaVu Sans (Recommended) (full support for Arabic, European accents, and international currency symbols), Courier, Helvetica, Times, Verdana, or Arial.
  • Base Font Size (pt) & Line Height: Defaults to 9pt (adjustable from 6pt to 24pt) and 1.2 line height (adjustable from 1.0 to 3.0).
  • Accent Color & Base Font Color: Customize table headers, borders, and body text colors to match your brand.
  • Thermal Receipt Appearance: Set a dedicated Thermal Accent Color (defaults to high-contrast dark gray/black for monochrome thermal printers) and an optional Thermal Font Override (such as Courier (POS Monospace)).
7

Test in the Live Preview Studio & Save

On the right side of the settings screen is the interactive Live Preview Studio:

  • Switch between Thermal Receipt, A4 Invoice, Packaging Slip, and XML (Peppol) in real time.
  • Uses a realistic sample order in memory without creating fake orders in your store or saving temporary files to your server.
  • Click Save changes at the bottom of the form to activate your setup.

  • Customer My Account & Thank You Page: Logged-in customers can download their invoices anytime from My Account → Orders, the dedicated My Account → Smart Receipts tab, or the Order Received confirmation page. • 58mm — Compact desktop thermal printer roll
    • 57mm — Credit card terminal and handheld mobile roll (default)

  • Amount Tendered (cash handed over by the customer)
  • Change Due (change returned to the customer)
  • Payment Method / Card Brand & Last 4 Digits

Works out of the box with standard WooCommerce payment gateways as well as Oliver POS, FooSales, YITH POS, and WooCommerce POS.

3

  • Default Cashier / Staff Name: Fallback name printed when no specific cashier is selected on an order.
  • Show Cashier Name: Toggles the Cashier: line on thermal receipts.
  • Staff Roster: Add your team members in the Staff Roster table. On any WooCommerce Order Edit screen, you can then select the serving staff member from the Assigned Cashier dropdown inside the SemiAuto Invoicing sidebar box.
  • Show Variation & Add-on Details: Show or hide product variation attributes and item add-ons for a more compact receipt roll.
4

Sequential Receipt Numbering & Counter Reset (PRO)

Under Advanced POS Workflows:

  • Enable Reminder Receipt Email & Reminder Delay (Hours): Automatically sends a follow-up email with the receipt PDF attached after 1 to 168 hours (default: 24 hours).

Statutory Document Control & The Immutable Ledger: Drafts, Issuing, Cancellations, Corrections & Credit Notes

Under national tax regulations (such as Germany GoBD, France, Spain, Norway, and UAE FTA), an issued tax invoice must never be silently overwritten. Learn how the built-in Document Control ledger locks issued documents and handles corrections, price reductions, and debit notes with one click.

WooCommerce → Settings → SemiAuto Invoicing → Billing Documents / Order Metabox
1

Understand Document States: Draft vs. Issued & Locked

Every invoice and credit note displays a live status badge inside the order’s Document Control panel:

State Badge What It Means Can the File Be Overwritten?
Draft Working preview. Changing order items, addresses, or store settings and clicking Regenerate updates the file in place. Yes — until issued.
Issued · locked Finalized tax document. Its sequential number, issue date, and totals are locked. The button changes to Get Issued Copy. No — corrections use a new document.
Superseded Replaced by a Corrected Invoice that references this original invoice. No — preserved for audit history.
Cancelled Reversed in full by an issued cancellation credit note. No — both documents remain on record.

Order Deletion Protection: When enabled (default), orders with locked tax documents cannot be permanently deleted from WordPress (they can still be moved to the Trash so your accounting audit trail stays intact).

2

Configure When Documents Are Issued & Numbered

  • Issue the Invoice Automatically (Billing Documents tab):
    • When the order is completed (Default) — Finalizes and locks the invoice when the order reaches Completed.
    • When the payment is completed — Finalizes and locks as soon as payment is received.
    • Manually only (Issue button) — Keeps invoices as a Draft until you click Issue, email the document to the customer, or send it through a Peppol gateway.
  • Enable Sequential Numbering (A4 Documents tab): Numbers invoices (such as INV-0001) and credit notes (such as CN-0001) in their own continuous sequences across both PDF and XML.
  • Invoice Numbering Moment:
    • Automatic (Default) — Assigns numbers at issue where seller law requires zero gaps (such as France, Spain, and Norway), and at first creation elsewhere.
    • When the document is issued (gap-free: drafts show no number) — Drafts display “Draft (numbered when issued)” so an order cancelled before issue never uses up an invoice number.
    • When the first PDF or e-invoice is created — Assigns a number immediately on first generation.
3

Use the Order Document Control Actions

Open any order in WooCommerce → Orders and look at the Document Control box at the top of the SemiAuto Invoicing sidebar panel:

  • Issue (on a Draft): Immediately assigns the sequential number (if numbered at issue), records the issue date, and locks the document.
  • Correct invoice (when buyer or order details changed after issue): Edit the buyer name, VAT ID, or address on the WooCommerce order, save the order, and click Correct invoice. The plugin automatically follows the legally required correction workflow for your country:
    • Credit & Rebill Workflow: Issues a full reversal Credit Note (without moving money or changing stock) and issues a new Replacement Invoice on a linked order marked paid by the original payment.
    • Corrected Invoice Workflow: Issues a Corrected Invoice with a new number referencing the original invoice and marks the original as Superseded.
  • Price reduction (post-sale discount without stock return): Click Price reduction, enter the tax-included discount per line or as a total along with a reason (such as Volume discount), optionally tick Refund the amount through [Gateway], and click Issue credit note.
  • Debit note (extra charges or quantities after issue): Click Debit note, enter extra product quantities or up to 3 custom charge lines, and click Issue debit note. A new linked WooCommerce order is created and the Debit Note is issued, locked, and optionally emailed with a payment link.
4

Automatic Discrepancy Detection & One-Click Prompts

If an order changes in WooCommerce after its invoice was already issued, the Document Control panel displays an automatic notice with a one-click fix button:

  • Order Cancelled After Issue: Click Issue cancellation credit note to reverse the locked invoice cleanly.
  • WooCommerce Refund Deleted After Credit Note Was Issued: Choose between Restore refund (restores the WooCommerce refund record to match the issued credit note without moving money) or Reverse with debit note.

Advance (Deposit) Invoices, Recording Partial Payments & Delivery Dates

Issue Advance Invoices for customer deposits (automatically deducted on the final invoice), confirm partial bank transfers without altering WooCommerce order statuses, and record statutory Delivery / Supply Dates.

WooCommerce → Orders → [Edit Order] → Document Control / Billing Documents
1

Issue an Advance (Prepayment) Invoice (Advance invoice Button)

While an order’s primary invoice is still in Draft state and not yet paid in full, you can issue one or more Advance Invoices for deposits or prepayments received:

  1. Open the order in WooCommerce → Orders and locate the Document Control section in the SemiAuto Invoicing sidebar panel.
  2. Click Advance invoice to open the prepayment form.
  3. Enter the Advance received (tax included), the Date received, and an optional Payment reference (for example, Bank transfer ref #99412).
  4. Click Issue advance invoice.
Automatic Deduction on the Final Invoice: The advance invoice is numbered, issued, and locked immediately (allocating tax proportionally across the order’s tax rates). When you later issue the order’s primary Invoice, it automatically acts as the Final Settlement Invoice—listing the full order items, deducting all issued Advance Invoices (with their invoice numbers and dates), and stating only the remaining balance due.

If an advance payment is cancelled before the final invoice is issued, click Credit advance invoice in Document Control to issue a linked Credit Note reversing the advance without changing inventory. Deposit data from WooCommerce Deposits and YITH WooCommerce Deposits is also detected automatically.

2

Confirm Bank Transfers & Record Partial Payments

For offline gateways like Direct Bank Transfer (BACS), Cheque, or Cash on Delivery, you may move an order to Processing to ship goods while the invoice is still awaiting payment (or partially paid):

  1. Go to WooCommerce → Settings → SemiAuto Invoicing → Billing Documents.
  2. In Payments Confirmed by the Admin, select the payment methods whose payments you confirm manually (such as Direct bank transfer) and save.
  3. On any order using those payment methods, open the Document Control panel and click Record payment received.
  4. Enter the Amount received, Date received, and Payment reference, then click Record payment.

All recorded payments are listed in the order’s payment table with a Remove button. The WooCommerce order status is never altered, while generated PDFs and XML e-invoices accurately show the Paid Amount and Remaining Amount Due for Payment. While the invoice is a draft, you can also toggle State the open amount as due on this invoice.

3

Record Statutory Delivery Dates & Manage E-Invoice Delivery Holds

Under European VAT rules and e-invoicing standards like German XRechnung, tax invoices state the Actual Delivery / Supply Date or an Invoicing Period:

  • Hold E-invoices Without a Delivery Date (Billing Documents tab):
    • Off (Default): E-invoicing standards that strictly require a delivery date or invoicing period wait automatically; standards where it is optional generate the e-invoice immediately and show a helpful note on the order.
    • On: All e-invoices wait until a delivery date or period is entered (or until the order reaches Completed, which uses the completion date).
  • Inline Delivery Date Picker in Order Panel: Inside the order’s Document Control box, select a date in the Delivery date picker and click Save and generate the e-invoice (or Save delivery date).

Consolidated Monthly B2B Billing (Summary Invoices) & The Billing Documents CSV Ledger

Flag repeat B2B buyers for periodic billing so each order receives a Delivery Note during the month, then issue one consolidated Summary Invoice (PDF + XML) for the period and export your full accounting ledger to CSV.

Users → [Edit User] & WooCommerce → Settings → SemiAuto Invoicing → Billing Documents
1

Enable Periodic Summary Invoicing on a B2B Customer Profile

  1. In your WordPress Admin sidebar, go to Users → All Users and click Edit on your B2B customer’s user account.
  2. Scroll to the Billing Documents section and tick Invoice this customer with periodic summary invoices.
  3. Click Update User.

What Happens on New Orders: Every new order placed by that customer is marked for periodic summary billing. Single-order A4 invoices and XML e-invoices are automatically held back, and WooCommerce order emails automatically attach the order’s Delivery Note (Packaging Slip PDF) instead. (If a specific order ever needs its own standalone invoice, simply untick Invoice this order on the customer’s summary invoice in that order’s Document Control panel.)

2

Run the 5-Step Summary Invoice Wizard

At the end of the billing period, navigate to WooCommerce → Settings → SemiAuto Invoicing → Billing Documents and locate the Summary Invoices card:

  1. 1. Customer: Select the B2B customer from the dropdown.
  2. 2. Period: Choose the start and end dates (defaults to the first and last day of last month) and click Find orders.
  3. 3. Orders: Review and select the customer’s Completed orders from that period (amounts are automatically shown net of any refunds recorded before issue, and grouped cleanly by currency).
  4. 4. Preview: Verify the consolidated net, tax, and gross totals across all selected orders.
  5. 5. Issue: Keep E-mail it to the customer ticked if desired, and click Issue summary invoice.

The Summary Invoice is immediately numbered from your sequential invoice counter, generated as both a Summary PDF and a Summary XML (with the billing period automatically included), and locked. Every covered order links directly to the Summary Invoice in its Order Edit panel and in the customer’s My Account portal.

3

Cancelling a Summary Invoice with a Credit Note

In the Summary Invoices table below the wizard, each issued summary invoice provides PDF, XML, and Email buttons. If you need to cancel a summary invoice (for example, if the wrong billing period was selected):

  1. Click Cancel with a credit note in the Status column.
  2. Enter the cancellation Reason (and UAE FTA reason code if using UAE PINT AE) and click Issue credit note.
  3. A sequential Credit Note reversing the summary invoice is issued and locked, and all covered orders are automatically released so you can include them on a new corrected summary invoice.
4

Filter the All Documents Table & Export the Accountant CSV

At the bottom of the Billing Documents tab is the All Documents ledger:

  • Instant Browser Filters: Filter recent documents by Type (All types, Invoice, Credit note, Corrected invoice, Services invoice, Advance invoice, Debit note, Replacement invoice) and State (All states, Draft, Issued).
  • Accountant CSV Export: Select your Issued from and to dates and click Export CSV for the accountant. The plugin gathers all issued, superseded, and cancelled documents (including Summary Invoices) for that period and downloads a complete spreadsheet for your bookkeeper or accounting software.

    • QR Code Content & Size: Encode the Order View URL or a Custom URL at 50px to 300px (default 100px).

In WooCommerce → Settings → SemiAuto Invoicing → XML (Peppol) under Core E-Invoicing Configuration:

  • Dual-Currency Totals & Second Currency: Displays a second set of totals on PDF invoices, credit notes, and thermal receipts for orders placed in another currency.
  • Automatic Exchange Rate Detection: Reads the exchange rate from your multi-currency plugin (such as WPML/WCML, WOOCS, CURCY, Aelia, Price Based on Country, or WooPayments), from the order’s manual exchange rate field, or from the official central bank rate feed, and permanently records the rate, source, and date on the order.
  • Automatic National Tax Currency Enforcement:
    • United Arab Emirates (PINT AE): Automatically states tax amounts in AED.
    • Norway (Peppol BIS 3.0 / EHF): Automatically states VAT in NOK using the Norges Bank official rate of the invoice date or your recorded order exchange rate.
    • Malaysia (PINT Malaysia): Automatically records the MYR exchange rate required by Malaysia LHDNM MyInvois rules.

2

Enable Hybrid PDF/A-3 (Factur-X / ZUGFeRD / XRechnung)

Tick Enable Hybrid PDF/A-3 to embed machine-readable XML directly inside the PDF file alongside a calibrated color profile and archival metadata. To keep your PDFs lightweight, hybrid XML embedding runs automatically for Factur-X / ZUGFeRD and German XRechnung profiles, while standard Peppol network profiles remain clean standalone files.

3

Configure Dynamic Profile Routing & Foreign Tax Registrations

Under Checkout & Customer Experience on the XML (Peppol) tab:

  • Dynamic Profile Routing: Automatically matches each order to the appropriate e-invoicing standard based on the buyer’s country:
    • Domestic Orders: Uses your store’s home national profile.
    • EU / EEA Cross-Border Orders: Routes to the buyer’s preferred European format (XRechnung, Factur-X / Chorus Pro, PINT EU, or Peppol BIS 3.0).
    • Non-EU Exports: Issues your store profile as a tax-exempt export addressed with the buyer’s identifiers.
  • Foreign tax registrations: Add any foreign VAT/GST registrations you hold in other countries (such as Singapore OVR GST, UAE VAT, Japan JCT, Australia/NZ GST, or Malaysia LVG). Orders from buyers in those countries are then issued in that country’s native PINT format using your registered foreign tax number.
  • Routing preview: Displays a live summary table showing exactly which e-invoicing profile each customer country will receive based on your saved settings.
4

Generate Companion Profile XMLs & PDFs on Any Order

In any order’s E-Invoicing (Peppol & Hybrid) sidebar section, select an alternate profile under Generate Additional E-Invoicing Profile XML and click + Generate XML. Each generated card provides a 3-row workflow:

  • Row 1: Regenerate · Download XML · Trash
  • Row 2: Download Profile PDF — Generates a companion PDF tailored to that specific standard (such as printing the UAE FTA Invoice GUID in the header) without altering your primary order invoice.
  • Row 3: Transmit to StoreCove / A-Cube (when a Peppol gateway is active).

WooCommerce → Settings → SemiAuto Invoicing → XML (Peppol) + Order Edit Metabox
1

How the Adaptive Checkout Engine & Per-Order Routing Panels Work

Instead of cluttering checkout with every international tax field at once, SemiAuto Invoicing uses an Adaptive Checkout Engine (supporting both Classic WooCommerce Checkout and WooCommerce Checkout Blocks):

  • Global B2B Fields: Under XML (Peppol) → Checkout & Customer Experience, enable Enable Tax / VAT ID Field on Checkout, Enable Peppol Endpoint ID on Checkout, and Enable Buyer Reference / PO Number on Checkout.
  • Country-Triggered Checkout Visibility: When a customer selects their Billing Country on checkout, the checkout form automatically reveals only the tax and routing fields needed for that country (such as SDI Code & Codice Fiscale for Italy, DIR3 administrative codes for Spain, or Leitweg-ID for Germany).
  • Per-Order Country Routing Panels: If a business or government buyer sends their routing codes after placing an order, open the order in WooCommerce and scroll to the SemiAuto Invoicing sidebar panel to edit and save country routing fields directly on the order.

Track 3 · Guide 10 of 12 PRO Pre-Flight & Diagnostics

Mastering the E-Invoicing Compliance Pre-Flight Assistant & Diagnostics

How to use SemiAuto Invoicing’s 3-layer compliance engine: the Store-Wide Compliance Shield & 1-Click Tax Provisioner, the Per-Order Pre-Flight Assistant Modal, and the Engine Issues Diagnostic Log.

WooCommerce → Settings → SemiAuto Invoicing → XML (Peppol) + Order Metabox + Status
1

Layer 1: Store-Wide Compliance Shield & 1-Click Tax Provisioner

European and Peppol validators require every invoice line to carry a valid tax category (Standard, Zero-rated, Exempt, Reverse Charge, Export, or Outside Scope) and—whenever tax is 0%—a legal exemption reason and exemption code.

  • Compliance Shield Banner: At the top of XML (Peppol), the Compliance Shield checks your WooCommerce tax setup against your store’s base country.
  • 1-Click Provision Standard Rates: If WooCommerce taxes are disabled or missing standard rates, the banner turns amber and displays the Provision Standard Rates button. Clicking it automatically enables WooCommerce taxes and inserts your country’s official standard and reduced VAT/GST rates.
  • Tax Class Mapping & EU Exemption Presets: Map each WooCommerce tax class to its tax category and select an official European exemption reason (such as Reverse Charge, Intra-Community Supply, Export outside the EU, or Small Business Exemption) from the built-in dropdown selector.
2

Layer 2: Per-Order Pre-Flight Assistant Modal (8-Row Checklist)

Inside any WooCommerce Order Edit screen, the SemiAuto Invoicing sidebar box displays a live Compliance Pulse badge (READY, WARNINGS, or BLOCKED). Clicking Open Pre-Flight Assistant opens an interactive checklist with an in-place [Edit Data] quick-fix bar:

Checklist Row What the Pre-Flight Assistant Checks How to Resolve Warnings or Blocks
1. Seller Identity Store Name, Street, City, Postcode, Country, and Seller VAT/Tax ID (or Country TRN/TIN/SIRET). Complete your store address and tax ID under General or XML (Peppol).
2. Buyer Identity Billing Company/Name, Street, City, Postcode, Country, and B2B Tax ID. Click [Edit Data] directly inside the Pre-Flight window to enter missing buyer details without leaving the screen.
3. Peppol Endpoint Routing Valid Peppol participant identifier (or automatically derived national VAT/Organization number endpoint). Enter the Buyer Peppol ID via [Edit Data] or allow automatic national endpoint matching.
4. Buyer Reference / PO Number Presence of Buyer Reference / PO Number (or German Leitweg-ID for XRechnung). Enter a PO Number or Leitweg-ID via [Edit Data] (automatically uses the Order Number when permitted).
5. Tax & Exemption Rules Valid tax categories and mandatory exemption reasons on 0% tax lines. Configure 0% tax class mappings under XML (Peppol) → Tax Class Mapping.
6. Line Item Math Net line precision, discount/fee rounding, and exact grand total balance. Handled automatically by the e-invoicing rounding engine.
7. Payment Means IBAN/BIC bank transfer details or card/online payment mapping. Add your IBAN & BIC under WooCommerce → Settings → Payments → BACS or XML (Peppol).
8. Country Mandate Rules Country-specific requirements (Italian SDI/PEC, Spanish DIR3, French Chorus Pro SIRET, Malaysian TIN/MSIC). Fill in the Country Routing Panel inside the order sidebar and click Save.
3

Layer 3: Centralized Engine Issues Log (Status → Engine Issues)

To monitor background e-invoice generation across your entire store without opening orders one by one, go to WooCommerce → Settings → SemiAuto Invoicing → Status → Engine Issues.

200-Event Activity Log: The Engine Issues sub-tab records up to 200 recent validation events showing the date and time, severity badge (Blocked, Error, or Warning), a clickable Order link, the e-invoicing standard, a plain-English explanation, and which field needs attention. You can filter by severity or click Clear Issue Log once resolved.
Track 4 · Guide 11 of 12 PRO Peppol Access Points

Connecting StoreCove & A-Cube Peppol Gateways: Setup, Transmission & Webhooks

How to connect SemiAuto Invoicing to the international Peppol network and national tax clearance authorities (Italy SDI, France Chorus Pro, Finland Finvoice) using StoreCove and A-Cube Access Point gateways.

WooCommerce → Settings → SemiAuto Invoicing → Gateways
1

Multi-Gateway Routing & Automatic Failover (Gateways → General)

Open WooCommerce → Settings → SemiAuto Invoicing → Gateways → General. You can enable one or both certified Access Point providers at the same time:

  • Active Gateways: Enable StoreCove and/or A-Cube API.
  • Default Primary Gateway & Failover: Select your primary gateway and enable Automatic Gateway Fallback so if the primary provider is temporarily unreachable, the plugin automatically retries delivery through the secondary gateway.
  • Auto-Transmit on Order Completion: Send invoices automatically when an order reaches Completed status, or send manually from any order’s sidebar panel using the Transmit to StoreCove / A-Cube button.
2

Configuring StoreCove (Gateways → StoreCove & StoreCove Queue)

  • Environment & Credentials: Select Sandbox (for testing) or Production (live), enter your StoreCove API Key, and enter your numeric Legal Entity ID.
  • Submission Mode:
    • Parsed Mode (JSON): Converts your invoice into StoreCove’s structured format and saves a local audit copy on your server.
    • Enveloped Mode (UBL XML): Sends your exact UBL 2.1 XML document directly inside a secure submission envelope.
  • Public Tax Networks & Email Fallback: Supports routing through StoreCove to Italian SDI, French Chorus Pro, Finnish Finvoice, and Spanish FACe, plus optional email fallback when a buyer is not yet connected to Peppol.
  • Live Participant Lookup & Inbound Queue: Check whether a buyer’s Peppol ID is registered to receive e-invoices directly from the order screen, and review incoming supplier invoices under Gateways → StoreCove Queue.
3

Configuring A-Cube API (Gateways → A-Cube API)

The A-Cube integration connects securely to A-Cube’s official Sandbox and Production Peppol endpoints:

  • Automatic 24-Hour Token Management: Select Sandbox or Production and enter your A-Cube login credentials or API token. The plugin automatically signs in and refreshes your 24-hour security tokens in the background.
  • Legal Entity Selector & Connection Test: Click Sync Legal Entities to load your registered Peppol business profiles into a convenient dropdown menu, and click Test Connection to verify live connectivity.
  • Dual Transmission Formats (XML or JSON): Choose whether to send standard UBL 2.1 XML files directly or send structured A-Cube JSON payloads.
4

Live Delivery Status Updates & Webhook Protection

Both gateways provide real-time delivery status updates back to your WooCommerce orders when you configure a Webhook Secret (minimum 16 characters):

Gateway Webhook Setup in Your Gateway Dashboard How Status Updates Are Protected
StoreCove Copy the StoreCove Webhook URL shown on the settings tab and set a strong 16+ character Webhook Secret. Verifies your secret key on every incoming delivery notification and records official Peppol sending evidence on the order.
A-Cube API Copy the A-Cube Webhook URL shown on the settings tab and set a strong 16+ character Webhook Secret. Verifies digital signatures and timestamps (blocking delayed replay requests older than 5 minutes).
Locked Delivery Status Protection: Once an invoice is confirmed as Delivered or Cleared by the network, any delayed or out-of-order “queued” or “processing” notifications that arrive later are automatically ignored so your completed delivery status is never overwritten.
Track 4 · Guide 12 of 12 Free Core + PRO Storage & Retention

Storage Manager, Bulk ZIP Exports, Statutory Retention Protection, Server Security & GDPR

How SemiAuto Invoicing organizes and protects your generated PDF and XML documents on disk, lets you export bulk ZIP archives, enforces 5-to-10-year tax retention locks, and integrates with WordPress GDPR tools.

WooCommerce → Settings → SemiAuto Invoicing → Storage / Status
1

Where Documents Are Stored & Automatic Directory Protection

All generated PDFs, e-invoices, and gateway files are stored privately inside your WordPress uploads folder under semiauto-invoicing:

  • Organized Subfolders: Documents are neatly separated into dedicated folders for Invoices (A4/Letter Invoices, Companion PDFs, XML E-Invoices, Advance & Summary Invoices), Receipts (Thermal POS Rolls), Packagings (Packing Slips), Credit Notes (Refund Credit Notes & Cancellations), Kitchen Slips (Kitchen Copies), and Gateways.
  • Automatic Apache, LiteSpeed & IIS Protection: The plugin automatically places security rules inside your storage folders so direct browser links to private invoice files are blocked on Apache, LiteSpeed, and Windows IIS servers.
  • Nginx Server Rule: If your host runs Nginx, you can copy the ready-to-use Nginx protection snippet shown under Status → System Status.
  • Verified Download Links Only: Every download link checks that the visitor is either an authorized store administrator, the logged-in customer who placed the order, or someone holding a valid, cryptographically signed order download link.
2

Hierarchical Storage Manager & Bulk ZIP Download (PRO)

Open WooCommerce → Settings → SemiAuto Invoicing → Storage to browse, search, and bulk-export every generated PDF and XML file:

  • Parent / Child Order Grouping: Primary Order Invoices and Credit Notes appear as main rows. Any Companion Profile PDFs (such as a Factur-X PDF or UAE PINT AE PDF) or Alternate XML files created for that same order are grouped neatly underneath as indented sub-rows (↳).
  • Filter & Bulk Download ZIP Archive: Filter by Document Type or search keyword, tick the checkboxes next to the files you want, and click Download Selected as ZIP to download a single .zip archive for your accountant.
3

Automated Statutory Retention & Uninstall Protection (PRO)

Tax authorities require businesses to keep issued tax invoices for 5 to 10 years. Configure your retention rules on the Storage tab:

Retention Setting Recommended Setup How It Protects Your Store
Enable Automated Retention Enabled Activates daily background retention management and protects issued tax invoices from accidental early deletion.
Country Legal Profile Match your store country Pre-fills official legal retention periods: 10 Years (Germany GoBD, France, Italy), 7 Years (Malaysia, Australia, New Zealand), 6 Years (UK HMRC), 5 Years (UAE FTA, Singapore IRAS), or Custom (1–15 years).
Operational Docs Cleanup (Days) 90 days (optional) Automatically cleans up temporary operational slips (Packaging Slips and Kitchen Copies) after your chosen number of days while keeping Tax Invoices and Credit Notes untouched.
Keep Invoices on Plugin Uninstall Enabled (Default) Preserves your invoice archive and accounting ledger even if the plugin is ever deactivated or uninstalled.
4

System Status, Cache Purge & WordPress GDPR Privacy

  • System Status (Status → System Status): Checks your server’s PHP version, memory limit, required extensions, folder write permissions, and directory security status at a glance.
  • Purge Temporary Cache: One-click button in System Status to clear temporary font and rendering caches without deleting any of your stored order invoices.
  • WordPress GDPR Privacy Integration: Adds suggested privacy policy text under Settings → Privacy → Policy Guide and integrates with WordPress’s Tools → Export Personal Data and Tools → Erase Personal Data tools while respecting mandatory tax retention periods.
